Quotable Moments

“We don’t live in a world of assumptions. There are reasons why donors stop giving. Either they run out of money, they’re not thanked often enough or properly, or they don’t know where their money is going.”

“The more a Shliach provides the right communication, the more the DRM can do with that information. Reporting often is crucial.”

“A Virtual Assistant (VA) is more like a general practitioner while a DRM is a specialist.”

“DRM is a service that is designed to help Shluchim succeed. Just like everything else we do at Rothman Coaching.”

Having a backup of a DRM is a lifesaver for both me and my wife. The fact that I don't have to remember the information someone told me and I need to follow up with them about something next week because I have a DRM to send it to, that's a lifesaver.

FREQUENTLY ASKED QUESTIONS

Here are the common questions we are asked about Donor Relationship Management. If you have additional questions, message us here.

Service and Outcomes

How do I get started?

Go to DRM page and click Get Started button to fill-up the form.

How does the DRM work?

From a high-level perspective, the DRM ensures that your mind stays fully focused on your shluchus while all fundraising-related details, including the right donors, the right information, and the right timing, are seamlessly captured and brought back to you exactly when needed. With the DRM in place, you don’t have to think about it; it just works.

The DRM works within your existing CRM, while all communications happen on Slack. As soon as something comes up on Slack, they immediately enter it into ClickUp as a task, assign a date, and track its progress, whether it's in progress, pending review, or awaiting the first draft. It's a fully managed system, but it's not your headache, and you never have to touch it.

How much preparation is needed before starting?

None. DRM picks up your donor management where it is. For beginners, DRM builds and implements systems with your support.

Who from our team will participate in the project?

Shliach (and Shlucha if involved in donor work).

Support staff, including secretaries and VAs.

Does the DRM handle the data entry?

Their role is not office management, but at the same time, certain tasks can be worked in. A Donor Relations Manager is not here for basic data entry, that’s not their focus. However, when it comes to donor-related tasks, like handling a post-campaign list with new names, it becomes their responsibility to ensure those contacts are properly entered into your CRM.

Does the DRM support the pre-donation experience?

Yes, the DRM is trained in donor onboarding and supports both gift and donor retention.

For example, when you meet a prospective donor, you can immediately send details about the interaction to your DRM. They will:

  • Enter the information into your CRM, properly tag it, and ask targeted questions to gather more context.
  • Upload the interaction details into the CRM entry and schedule next steps with the prospect.

With clear processes and templates, the DRM ensures no detail is missed and that next steps are planned. When it is time to follow up, the DRM will remind you, keeping the process smooth and efficient.

Does the DRM get involved in planning?

Absolutely. The DRM maintains consistent communication to keep everything on track:

  • Weekly: At the start of the week, they outline their focus areas and at week’s end, report on major accomplishments and any open items.
  • Daily: They send updates on tasks they’re managing and perform a soft check-in if they haven’t heard from you by 1 PM. An hour before their workday ends, they’ll confirm if there are any urgent tasks to tackle before logging off.

This creates a well-oiled system where anything fundraising-related can be delegated to the DRM, who manages and tracks the workflow, bringing tasks back to you only when action is needed to move relationships forward.

Can the DRM help onboard new donors?

Yes, the DRM plays a key role in building relationships with new donors. From the earliest stages of a prospect interaction, they:

  • Capture essential information.
  • Help you take the right next steps to establish a connection.
  • Work towards turning prospects into long-term supporters by ensuring the relationship-building process is intentional and effective.

Does the DRM directly communicate with donors?

The DRM follows a standard calendar that includes scheduled check-ins with you ahead of holidays or campaigns. This ensures they identify those who need special messages and get your input on the content, so everything is prepared and executed seamlessly.

Does the DRM service include executive coaching?

No. The DRM service is a standalone service. You may opt to get executive coaching as a separate service.

Project Details

What is the length of the project?

DRM is an ongoing service designed to support and enhance all fundraising activities.

How do you ensure all processes are followed?

DRM provides daily check-ins and weekly feedback forms to measure performance.

How do you measure success?

Success metrics include:

  • New donors.
  • Donor retention.
  • Increased and repeated gifts.
  • Donor engagement and satisfaction.

What time period do we reassess if the DRM service is effective?

There’s no long-term contract, it’s a month-to-month service that you’ll experience and say, “Wow, I can’t believe this.” You’ll keep going because you’ll continue seeing the benefits. And if you reach the point where you need a second staffer because you’ve maxed out the first one, you know exactly where to turn for a trusted, proven service.

How do we ensure DRM services remain up-to-date?

DRM professionals continuously share new tips and best practices with Shluchim.

Cost and Affordability

How much does it cost?

Premium Package:

  • Onboarding fee: $1,000.
  • Monthly service: $3,000. (Waived onboarding fee for 3-month sign-ups.)

See all the services and benefits here.

Can I benefit from DRM if I already have a qualified VA?

Compare the services your VA provides to the DRM’s full suite. If gaps exist, DRM can complement your efforts and boost Hatzlocho.

A VA is like a general practitioner, while a DRM is a specialist. These professionals bring years of fundraising experience and expertise in nonprofits, ensuring a positive and effective approach. They are highly trained, not newcomers figuring things out as they go, but seasoned experts who know exactly what they're doing.

What protocols are in place to protect shared information?

DRM services are built on the highest levels of client confidentiality and secured by stringent protocols.

Why is the DRM not just affordable but essential for this process?

The DRM ensures that once a gift is given, donors receive year-round engagement, keeping them updated, inspired, knowledgeable, and motivated to continue supporting. With a communication calendar in place and managed by the DRM, donors will clearly see the impact of their contributions, creating a seamless environment for continued giving.

(Note: The DRM won’t make cold calls or pursue new leads for you—it works within the framework you set to maximize donor engagement.)
